Management Assistant

Job Overview

The Management Assistant is essential for the members of the Management Team (the Chief Executive Officer, Chief Operational Officer and the Chief Business Development Officer) to ensure an efficient and effective way of working. In this independent position, you are an important link between Management Team members and the rest of the organisation, third parties and between the members themselves. You will have a helicopter view of all business for the three above mentioned Management Team members and you anticipate on their tasks. This position gives complete organisational and administrative support in order to enable them to perform their jobs efficiently. You will - if appropriate- also support the supervisory board meetings. The focus in this position is in supporting Management Team related tasks rather than secretary activities and as such, you will be encouraged to come with ideas and actions which help the MT and the company with the implementation of its goals.  

Tasks & Responsibilities

    Arranges and schedules both external and internal meetings, full agenda management, answers the telephone and receives visitors of the Management Team;
    Sets priorities for the members of the Management Team and advises the members of the Management Team on the agenda (based on  the priorities);
    Prepares, together with the CEO, Supervisory Board and Management Team meetings (for example: prepares PowerPoint presentations) and takes minutes at Supervisory Board and MT Meetings and other conferences;
    Prepares other relevant meetings internally (such as lunch meetings) and externally (such as meetings with the board and clients). Is involved in setting the agenda, gathering relevant documentation etc. to make meetings efficient;
    Is present at the internal and external meetings of the Management Team. Makes sure the agenda is followed-up, takes notes and notifies the members of the meeting on the decisions that should be made;
    Does follow up on actions with internal and external parties where appropriate;
    Communicates efficiently, both internally and externally, including the documentation of messages and arrangements, and forwarding them to interested parties;
    Manages information efficiently in order to make management information easily available and accessible to the manager(s);
    Manages confidential correspondence and information, follows up of agreements and actions in an efficient manner and makes travel arrangements as required.

Skills & Experience

    Higher (bachelor or university)  level of education;
    A minimum of 4 years relevant experience in a professional environment;
    Good knowledge of Microsoft Office (Excel, Word, Outlook, PowerPoint);
    Strong organisational and communication skills, able to multi-task;
    Good analytical skills and a good helicopter view;
    Eagerness to learn and fast learning;
    Service-oriented and pro-active attitude;
    Excellent command of written and spoken Dutch and English;
    Excellent interpersonal and communication skills;
    Accurate and discreet;
    Energetic and flexible problem solver;
    Organisational sensitivity;
    Stress resistant.  

The position requires a high level of integrity, as you'll likely be exposed to confidential and sensitive information. The position reports directly to the HR Director.
